RFQ (Request for Quotation)

A Request for Quotation (RFQ) is a solicitation document used when a buyer needs price quotes for clearly defined products or services. It sets out precise specifications—such as item descriptions, quantities, and delivery terms—and invites suppliers to submit their pricing offers. Unlike full tendering processes, RFQs are simpler and more streamlined, focusing primarily on price and basic compliance.

RFQs are typically used for simpler or lower-value procurement where the requirements are well-known and standardised. Public and private buyers may send RFQs to a select group of suppliers who submit written quotes. The RFQ process enables a comparison based on price (and occasionally minor additional terms), making it an efficient method for routine purchases—often used in catalog or framework purchasing scenarios.

In practice, using RFQs helps buyers achieve faster turnaround and lower administrative burden for standard purchases. Suppliers can respond quickly with accurate quotations based on clear specifications. The buyer selects the most competitive or appropriate quote and proceeds accordingly. However, despite its informality, clear terms—such as validity periods and scope—ensure both parties understand the obligations and expectations.
